Private Client Sessions Without Zoom: Your Own Room, Notes, AI Summaries and Recordings Your Clients Keep

ClientBranch now gives every practitioner a private video room for one to one sessions. Clients tap their booking link and join in the browser, wait in your waiting room, and leave with the session in their inbox, while your notes and an AI summary land on their contact.

If you see clients one to one over video, you know the routine. Copy the Zoom link into the booking confirmation. Hope the client finds it. Wait while they download an update. Remember to press record, then hunt for the file afterwards, convert it, upload it somewhere and email a link. Then open your notes app, type up what happened, and paste it into your client records, if you get to it at all.

None of that is the session. It is admin wrapped around the session, and it eats the time between clients.

ClientBranch now has private meeting rooms for one to one sessions, built into the same place as your calendar, your contacts and your email. Your client taps their own link from their booking, waits in your waiting room, and joins in their browser. You run the session with a private timer, notes and an AI summary. When you finish, everything is already on their contact, and the session itself can be in their inbox a few minutes later. Meetings are part of the Growth plan, so there is no separate video subscription to pay for.

Watch it first

The video above walks through a whole session in about nine minutes, from creating the room to the private page your client listens from afterwards. The rest of this post explains each part and why it matters for your practice.

One room, one link, for every client

Under Meetings in the left menu, type a name for your room, leave the type on Meeting and press Create. That is your personal session room. Its link never changes, so you can put it in your emails and on your website and never send a new meeting link again.

The settings are short and written in plain English:

  • A note on the join screen, like "Find a quiet spot, and use headphones if you have them."
  • Public or private. Private adds a passcode. Clients who book through your calendar get a personal link that skips it.
  • A waiting room, on by default, so the next client never walks in on the last one.
  • Allow recording. Your client is always told and asked to agree before anything is kept.
  • A price to join, if you want clients to pay on your own Stripe before they reach the waiting room.
  • Where to send your client at the end, like a thank you page or a review request.

Every booking carries its own join link

Open your booking calendar, and under the location tap your room in the Use a meeting room row. That is the whole setup. From then on, every booking's confirmation and reminder emails carry the client's own personal join link, with an Add to Calendar button beside it.

On your appointments list, each booking in a meeting room gets a Join button, so you can start the session straight from your schedule. Open the booking and Copy client's join link copies their personal link, in case you want to text it to them.

When your client taps it, there is nothing to install and their name is already filled in. They land in your waiting room, and you see a gold bar telling you they are there. Press Let in, and the session starts. And because they came in through their own link, the booking marks itself Showed on its own.

Tools made for real sessions

Most video apps are built for office meetings. These tools are built for one person helping another:

  • A private session timer. A clock only you can see, which starts when your client joins and turns gold with ten minutes left. Plus five adds five more minutes.
  • Background blur or a calm picture, so your kitchen or spare room stays private.
  • Music mode, for practitioners who play a music bed under their voice. It sends it through clean, in full quality stereo, instead of the chopped up sound video calls normally give music.
  • An intake form before joining, so consent and health questions are answered before your client ever reaches the room.
  • Reactions, raise hand, chat and share screen when you need them, and mute or remove from the People panel.

Notes and an AI summary on your client's record

Press Notes during the session and a private notes box opens, just for you. It saves as you type. Switch on AI session notes and, while microphones are on, the browser writes down what is said. Press Write AI summary now, or simply end the session, and your AI turns what was said, your notes and the chat into a short summary with key points and next steps.

Both go straight onto your client's contact. Before their next session, you open their record and see exactly where you left off, without digging through a notebook or a separate app.

Send the session to your client in one click

A minute or two after you stop recording, the session appears under Recordings on your room's page. Press Send to client, trim the start and end if you like, choose an MP3 or a video, add a short message, and press Send. Your client is already on the list, because they came in through their booking.

They get an email with a link to their own private page, where they can play the session every night, read your message, and download it if you allow downloads. For relaxation, hypnosis, coaching or any work where clients benefit from listening again, this is the part they remember. You can also set every session to send itself automatically.

The email is logged on their contact too, so you always know what each client has received.

Why run your sessions here

  • Nothing for clients to download, and a link that is already in their booking.
  • A waiting room, a private timer and music that sounds like music.
  • Notes and an AI summary filed on the client's record without any typing up.
  • The session in your client's inbox minutes after you finish.
  • Bookings marked Showed on their own, and no separate video subscription.

Running group webinars too? Those have their own rooms, with offers, polls, Q and A and replay pages, and their own guide.

Open Meetings, create your room, and tap it on your booking calendar. The full written steps are in the Meetings help guide.
